Does the purchase price of the software include training and
installation?

What is the cost of training? How
much does my office receive?
On-site
training for an office usually requires 2-3 days. These can be split into half
day segments to avoid information overload. Training is billed at $1000.00 per
day plus travel expenses. We recommend starting with the basics of the system
first and then tackling the more in-depth options of the system once your staff
is comfortable with day-to-day activities. Our trainers will not leave your
office until your staff is comfortable with the software!
Do setup,
travel and installation use up any of my training
hours?
No.
What is the
cost of support and maintenance? What does this include?
Cost of support
and maintenance ranges from $100.00-$200.00 per month depending upon the
modules chosen for your office. In all cases, the annual support contract
includes unlimited toll free telephone support, software enhancements and
upgrades as well as changes to the fee guide. New clients get first 3 months
free!
What is the
response time to
support calls? What are your telephone support hours?
We try for
immediate response but this is not always possible. Should you have to leave a
message, we will return your call within 20 minutes. Our telephone support
hours are: Mon-Thurs 8:00am-6:00pm EST, Fri 8:00am-4:00pm EST. After hours
support are: Mon-Thurs 6:00pm-9:00pm EST, Fri 4:00pm-9:00pm EST, Sat
8:00am-4:00pm EST.
Am I contractually locked in with Autopia for a specified
number of years?
No. Support and maintenance is billed annually
and is entirely optional.
What are
the rates for services if I do not enrol in an annual maintenance contract?
We do
recommend you enrol in our maintenance contract as per call options can be
expensive. Should you choose this option, you will be charged $94.50 per
call. Fee guide updates are $162.00 and there is an hourly charge of $100.00.
System updates are billed at $740.00 per update.
Does the support
contract include the new fee guide
each year?
Yes.
Does support include software updates throughout the year?
Yes.
Can I
obtain customized programming
if required?
Yes. We are
able to tailor the system to meet your specific needs.
Do you charge a licensing fee per terminal?
No. This can
quietly add to the purchase price quickly and dramatically to the unsuspecting
purchaser. Autopia offers a site license.
This means you may have as many workstations as necessary for a one-time fee.
Do you
integrate with digital x-rays and intra-oral cameras?
Yes, we bridge
to any intra-oral camera and digital x-ray equipment. This allows you to
choose the best option for your office.
Can my existing data be converted?
Yes,
we convert all of you data. If you are already computerized and need to switch
to another system, make sure your data can be converted. If the company cannot
or will not convert the data, be aware of the ramifications. Be sure to ask
specifically what data will be converted. You will need all your patient
information, account balances, insurance information, your appointment book, as
well as your patient history and recall system.
Do I save a lot of money by not having my
data converted?
No.
1. You will spend a great deal of staff time and
therefore,
money to re-enter all of your patient information, account balances, insurance
information,and your appointment book.
In
many cases, thisinvolves overtime!
2. You cannotre-enter
patient history so you will not have access to your patienthistory
unless you maintain your old system on-site.
3. Maintaining your old system now means you are
operating two systems!! Your staff will constantly go back
and forth between your new system and the old one for access to all the information.
All of this adds undue stress and workload for your staff. Wasn't switching to
a new system supposed to make their lives easier? By not having access to
patient history, or having to re-enter the entire patient database every day,
for a year, until you are caught up, the transition to your new system becomes
much more difficult, inefficient, and cumbersome.
Simply put, for entire practice peace of mind, data conversion is a must for
any office.
